This Notice explains how Sentrygov ("Sentrygov", "we") collects, uses, shares, and retains personal data when you use SentryGov (the "Service"). Sentrygov acts as the data controller for personal data we process about our users.
1. Data we collect
- Account data — name, email, login credentials.
- Company profile — company name, contact details, website, NAICS codes, capabilities, certifications, past performance you supply.
- Usage & telemetry — pages visited, features used, AI requests, quotas consumed, timestamps.
- Device data — IP address, browser/user-agent, device identifiers.
- Support content — messages and feedback you submit.
- Billing metadata — subscription status, plan, billing period. Payment card and tax details are collected and processed by Paddle, not by us.
2. Why we use it & legal basis
- Provide the Service (contract performance) — accounts, opportunity matching, AI drafting, quotas.
- Security & fraud prevention (legitimate interests / legal obligation) — abuse detection, logging.
- Product improvement (legitimate interests) — aggregated usage analytics.
- Customer support (contract performance) — responding to your requests.
- Marketing (consent, where required) — product updates and weekly digests you opt into.
3. Sharing
We share personal data with:
- Service providers / subprocessors — hosting, database, email delivery, analytics, and AI inference providers acting on our instructions.
- Paddle — our Merchant of Record for the sale of subscriptions, payment processing, subscription management, tax compliance, and invoicing. Paddle is an independent controller for the payment data it collects.
- Professional advisers — legal, accounting, and similar advisers under confidentiality.
- Authorities — where required by law or to protect rights, property, or safety.
4. International transfers
Our providers may process data outside your country. Where required, we rely on safeguards such as Standard Contractual Clauses or adequacy decisions.
5. Retention
We keep account and profile data while your account is active and for a reasonable period afterward to meet legal, tax, and security obligations, then delete or anonymize it. Logs are retained for a shorter operational window.
6. Your rights
Depending on your jurisdiction, you may have rights to access, correct, delete, restrict, port, or object to processing of your personal data, and to withdraw consent. To exercise these rights, contact us via the feedback form. You may also complain to your local supervisory authority. We aim to respond within one month.
7. Security
We apply appropriate technical and organisational measures, including encryption in transit, access controls, and least-privilege backend access. No system is perfectly secure; please use a strong, unique password.
8. Cookies
We use strictly necessary cookies for authentication and session management, and limited analytics cookies to understand usage. You can manage cookies in your browser settings.
9. Children
The Service is not directed to children under 16, and we do not knowingly collect their personal data.
10. Changes
We may update this Notice. The "Last updated" date will change and material updates will be highlighted in-app where appropriate.
